Membership Import

Tussock can import member records from Scouts Australia’s Extranet via CSV upload. This mirrors Extranet’s data into your Group so you can run operations from Tussock while Extranet remains the federal source of truth.

  1. Go to Group > Membership import.
  2. Upload your Extranet CSV export (UTF-8, up to 8 MB, max 50,000 rows).
  3. Tussock parses the file entirely in your browser — no data is sent to the server until you confirm.

The parser recognises these Extranet columns:

  • Membership number, given name, family name, date of birth
  • Section, role type, registration date
  • WWCC number, state, and expiry date

Unknown columns are preserved for the conflict review but not imported into structured fields.

Tussock matches imported rows against your existing roster using three strategies (in priority order):

  1. Membership number match — exact match against existing membership numbers (highest confidence)
  2. Name + DOB match — given name, family initial, and date of birth match against any existing person
  3. Name-only match — marked as unmatched; you decide manually

Unmatched rows that don’t correspond to any existing person are marked as New and will create fresh records.

When a CSV row matches an existing person but the data differs, Tussock shows a per-field conflict review:

  • 9 fields compared: given name, family initial, date of birth, membership number, section, registration date, WWCC number, WWCC state, WWCC expiry
  • For each conflict, choose Apply CSV (overwrite local data with CSV) or Keep local (preserve your edits)
  • Conflicts are only surfaced when the local record has been edited since the last import — if no local edits exist, CSV data wins silently

Re-upload monthly to keep your roster in sync. Tussock diffs against the previous import and only surfaces fields that changed since the last sync. This prevents re-visiting decisions you’ve already made.

The membership page lists all previous imports with filename, date, row count, and status (pending review, finalised, or discarded).

The Member Transfers page (Group > Transfers) manages inter-group Scout transfers:

  • Request a transfer — select a Scout, enter the sending group name, and submit
  • Inbound transfers — transfers to your Group, awaiting your accept or reject
  • Outbound transfers — transfers from your Group, awaiting the other Group’s response
  • Recent decisions — settled transfers with dates and any rejection reasons
