Plan a Scout Night

The event wizard walks you through planning a Scout Night in 6 steps (up to 8 if consent or equipment steps are needed). Tap New Event from the Program view or Plan your first night from the empty roster.

  • Title (required) — e.g. “Knots & Lashings night”. Tussock auto-detects the event kind from your title (typing “Weekend hike” selects the Hike chip).
  • Event kind — choose from: Night, Hike, Cycle Trip, Paddle, Camp, Bushwalk, Service, Indoor, Other. Some kinds auto-set activity flags (e.g. Camp sets overnight + off-site).
  • Date (required) and Start time
  • End date — set this for multi-day events like camps. It enables per-day attendance tracking and auto-suggests the overnight flag.
  • Location — e.g. “Den + back oval”
  • Section (required) — Joeys, Cubs, Scouts, Venturers, or Rovers. Tick Cross-section to include multiple sections.
  • Description (public — parents see this) and Plan (internal — leaders only)

Toggle rows for flags that trigger extra consent or safety steps:

  • Off-site — triggers per-event consent + transport plan
  • Adventurous activity — requires AAL clearance
  • Overnight — triggers camp consent + medical pre-fetch

When any flag is on, an amber callout shows which extra wizard steps have been added.

When your event has outdoor, water, overnight, or adventurous flags, Tussock shows an Auto-logbook section. It pre-fills one activity row based on your event details:

  • OAS stream — derived from the event kind (e.g. Hike maps to Bushwalking, Paddle to Paddling). Shows a “From event type” chip.
  • Duration — derived from event dates for multi-day events. Days and Nights are linked inputs. Shows a “From event dates” chip.
  • Distance (km) — manual entry (hidden for Aquatic, Vertical, and Boating streams).

You can edit any derived value (the chip disappears when you do), add more activity rows, or Reset to event details to restore the defaults.

Pick one: Community, Creative, Outdoor, or Personal Growth.

Multi-select the developmental domains this night will target: Social, Physical, Intellectual, Character, Emotional, Spiritual.

Browse the full OAS framework and tick the specific requirements this event will cover.

  • Three tabs: Core (Bushcraft, Bushwalking, Camping), Specialist (Alpine, Aquatic, Boating, Cycling, Paddling, Vertical), and Common (globally-shared requirements).
  • Each stream expands to show stages, and each stage lists individual requirement checkboxes.
  • Cross-stream cascade: ticking a globally-keyed requirement (like First Aid) automatically ticks it in every stream that shares that requirement.
  • A completion heatmap shows how many of your Scouts have already completed each requirement — so you can target the gaps.

Pre-assign Participate, Assist, or Lead roles to individual Scouts.

  • Every Scout defaults to Participate.
  • Tap a Scout to cycle through: Participate > Assist > Lead > Participate.
  • Only Lead and Assist assignments are stored — you can adjust on the night.

For cross-section events, Scouts are grouped by section with collapsible headers.

Lay out the night as timed steps. Each step has a time, title, duration (in minutes), and an optional detail field. Setting a duration auto-cascades subsequent start times.

This step is optional — you can skip it or come back to it later.

A summary of everything you’ve set up:

  • Event details, tag chips, and Challenge Area / SPICES selections
  • Leader-in-Charge picker — assign the leader responsible for this event. Required for publishing (but optional for saving as draft).
  • Auto-logbook preview — shows what logbook entries will be created at completion time.
  • OAS targets — full list of selected requirements with stream and stage labels.
  • Role assignments and run-sheet summaries.

Tap Save as draft to save the event. You can edit it any time before the night.
